Job Summary: Works with the PLM team in managing the SLA/KPI process for all reporting and lease administration required by Stewart. This position is responsible for all aspects of Corporate Real Estate administration services related to facility projects taking place in the filed as well as Corporate Headquarters. Job Duties: Manages the database for lease data and other related documents such as lease renewals, new lease agreements and lease terminations. Analyzes and disputes, when necessary, reconciliation billings for RE Taxes, operation related expenses and tenant reimbursements. Responsible for the payment process as it relates to lease compliance. Maintains the interface with the ERP System. Constructs lease analysis and geographic based comp reports/surveys Manages and coordinates recurring facilities services with vendors and property management groups. Assist and provide backup to Stewart's Lease Administrator with the following duties: Obtain, abstract and upload outstanding lease and other real estate documents Obtain, abstract and upload incoming renewal, new lease and lease termination documents Review and dispute where necessary annual tenant reconciliation billings for RE taxes, operating expenses, tenant improvement reimbursement, collection of security deposits, etc. Process monthly rents, CPI increases and other rent adjustments for payment in compliance with the Lease including export to ERP system (Lawson) Prepare correspondence with Landlords and Tenants regarding lease and other real estate documents. Review of leases, SNDAs, estoppels, and other legal documents Processing of various PLM related invoices including coding and submissions to payables as well as tracking related to tenant improvement reimbursement or specific projects in accordance with approved Stewart guidelines established by Accounting. Prepare monthly, quarterly, annual and other reports as required by Stewart PLM management and be able to create reports through the real estate database. Prepare lease analysis, checklist packages as well as various geographic area comp reports/surveys Maintenance of lease files Prepare check requests and lease packages for distribution to Landlords. Support project team in Property and Lease Management Project Coordinator capacity with regards to opening tickets and SNOW Requests. Manage administrative services of P&LM & Facilities Services service team related to supplies, calendar, etc. Any other duties as assigned by supervisor Interact with various intra-company groups with respect to facility operational activities and projects Liaison with landlord and property management company with respect to repair and maintenance of the building and common areas pursuant to the lease. Assist facility project managers with establishing or disconnecting utility services (electricity and garbage) for Stewart offices. Liaison with vendors, landlord and property management groups with respect to facility recurring services, repairs and maintenance including janitorial. Role Requirements: Must have the ability to troubleshoot problems with field offices and apply the right judgment and solution for solving problems and to prioritize ever changing workload. Must have the ability to outline, develop, and perform data compilation and data analysis and translate into meaningful tables, charts, reports, etc. Should be able to handle complex analytical tasks where existing methods and procedures may not apply and must be creative at defining a process to meet the challenge presented Should have an orientation to service internal customers in a professional and timely manner according to the agreed upon service levels. Must have the ability to develop and lead small scale projects with cross functional representation from stakeholders. Must develop tasks in a project schedule and follow-up with team members to complete tasks in a timely way. Must be able to develop sponsorship and escalate appropriately to remove project barriers. Should have the ability to understand and document processes and procedures. Must have strong listening, written, and verbal communication skills. Must be able to summarize and communicate project goals, tasks, deliverables, issues, and action items. Should be well versed in the use of PowerPoint, Excel, Word, and MS Project Must possess general knowledge of real estate principles, theories, concepts, and practices around leases, deeds, estoppels, SNDAs and other property management practices Must be able to handle the overall administration and integrity of lease program management ensure that service levels are met for internal customers. Must be able to develop Metrics and KPI's to use in score-carding process to manage success of forms management and facilities services programs and vendors supporting the programs.
